5 Holy Grail Tools for Business Owners

So you’re rocking the CEO game, but lately, you’ve been feeling overwhelmed as you try to scale your business. Even more, you’re also managing your own operations, marketing, and strategy (and maybe even squeezing in a few TikToks here and there)!

When we first started Vow + Vast, we were in the same boat- juggling long-term projects and organizing everything in a clear and efficient way was a HUGE learning curve. But over time, we’ve garnered some tools and tricks that made my life as a VA way easier. 

The deal is, you need programs that work well with your business but are also intuitive, reliable, and easy to use. 

Today, we’ve brought together five of our holy grail tools from each area of our business into one place, so you can quickly implement and organize your processes. Let’s get into it!

  1. Project Management: Asana

Now, I’ve been going back and forth between Notion and Asana for a while, but I have to say, Asana is the best program out there for project management across multiple clients. Separate each client into project boards or simply color code each one on a single board to keep track of all client tasks together. Add attachments, communicate with team members or clients, and create subtask to-do lists all in one place.

2. Info + Organization: Notion

While you can do a lot of the things I listed above in Notion, I find Asana is more intuitive for juggling multiple projects. On the other hand, Notion is an excellent place for data and information storage. Working in more of a page or “notebook” style format, Notion allows you to free build pages with tables, links, PDFs, and more into a single space. For example, our social media plan lives on a single page: all of our brand and strategy information is listed in drop-down toggles for reference at the top, followed by an ongoing calendar view that can be switched into a table or card format. And our social calendar is just one of the many “team spaces” we use to organize brand information, meeting notes, and existing content. 

3. Client + Team Communication: Slack

I’ve been using Slack with various clients here and there for a while now, and it’s finally come to the time when I’ve implemented it on my own team. As opposed to iMessage, WhatsApp or Voxer, Slack allows multiple, customized channels under a single team to organize discussions based on topic. On my own team, I separate content, operations, and offerings for example. For clients, create separate channels for each client to keep all your communication in one easy-to-access place.

4. Design: Canva

At this point, you’re probably already Canva obsessed or have heard rave reviews about it. Canva is the go-to graphics program for business owners and virtual assistants who need easy, quick graphics. My favorite tip? If you’re regularly creating content for clients within your own account or within theirs, be sure to create a brand kit: save their colors, custom fonts, and logos to this section so you can easily access them in future designs. And as you create content, save graphics as templates so you can easily reuse them in the future.

5. CRM: HoneyBook

While you’re managing project content and to-dos in Asana, use HoneyBook to fill in the operations side of client project management. In HoneyBook you can organize finances, collect payments, create professional forms and manage project statuses all in one place. Once you get the hang of it, it will truly be your go-to for operations management.
